Overview of Sample Tracking
Sample Tracking is a software add-on designed to track and retrieve the identities and processes information of samples and labware processed on Tecan EVO Instrument. It integrates pipetting and reader data, generates reports and provides a single interface to a Laboratory Information Management System (LIMS).
Key Features and Benefits
- Tracks Sample IDs, barcodes, volumes, concentrations, and errors through complex pipetting processes.
- Integrates pipetting and reader data (Magellan, i-Control, XFluor).
- Generates files for electronic archiving, csv-tables, and pdf-printouts.
- Monitors pipetting in real-time.
- Provides a single, Tecan interface to a LIMS.
The Tecan Sample Tracking Add-on and the database can be run on a stand-alone PC or in a network (LAN) environment. It can be used to collect and store data from several Application Software installations. The recorded data is stored in an SQL database. The data can be exported in various formats. A web-based reporting tool for data evaluation is provided in the Stand Alone and Multi Instrument configurations.
Tecan Sample Tracking (ST) Add-on tracks the location of liquids. When registering a sample, the identity of the cavity is assigned to a specific sample. Thus, the locations of samples are tracked by tracing the process steps (e.g., aspirate and dispense).
Configuration Options
The Tecan ST Add-on provides three different configuration options during installation:
- Embedded: SQL database entries are deleted after every new script or process run. This configuration is available without purchasing a license.
- Stand-Alone: SQL database entries are persistent and can be recalled even after future runs using the Web-based reporting tool. This configuration requires a license.
- Multi-Instrument: The Server with the SQL database can store entries of multiple instruments. This configuration needs a license. In this case the sample tracking add-on is installed on a separate PC.
Sample Tracking uses the same user roles as provided by the Tecan User Management.

Common Issues and Solutions
Issue 1: Barcode Not Recognized
Solution:
- Ensure the barcode is clean and properly aligned.
- Retry scanning the barcode.
- If the issue persists, manually enter the barcode.
Issue 2: Insufficient Liquid Detected
Solution:
- Verify the liquid volume and ensure the pipette is calibrated correctly.
- Check for any clogs in the pipette tip.
Issue 3: Clot Detection
Solution:
- Inspect the sample for clots and ensure the pipette tip is not clogged.
- Retry the pipetting process after resolving the clot issue.
Important Notes
- Ensure that the plate orientation set corresponds with the actual orientation.
- Validate the complete system after modifications to configuration files.
- Regularly check the database size to prevent data loss due to exceeding memory capacity.
- Use caution when generating or modifying reports to avoid misinterpretation.
